This Data Protection Policy explains how SOQ International Academy (“SOQ”, “we”, “us”, or “our”) collects, uses, discloses, stores, and protects personal data when you visit our websites, use our learning platform, enrol in programmes, contact us, or otherwise deal with us.

By providing personal data to us, creating an account, submitting forms, or using our services, you acknowledge that you have read this Policy. Where consent is required under the PDPA, your provision of personal data and/or continued use of our services constitutes consent to the purposes described below, unless you withdraw consent in accordance with this Policy.

1. Who this Policy covers

This Policy applies to individuals in Singapore and elsewhere who interact with SOQ as learners, applicants, parents/guardians (where applicable), trainers, agents, corporate clients, website visitors, platform users, and other contacts.

2. Personal data we may collect

Depending on your interaction with us, we may collect:

  • Identity and contact data — name, NRIC/FIN/passport details (where required for enrolment, funding, or verification), nationality, date of birth, gender, photographs, and contact details
  • Account and platform data — login credentials, profile information, preferences, device/browser information, IP address, cookies, and usage logs
  • Education and programme data — enrolment history, attendance, assessments, assignments, grades, certificates, feedback, and communications with trainers/support
  • Employment and corporate data — employer details, job role, sponsorship information, and billing contacts
  • Payment and transaction data — billing details, payment references, invoices, refunds, and funding claims support information (we do not store full card numbers when payments are processed by payment gateways)
  • Marketing and enquiry data — form submissions, event registrations, survey responses, and communication preferences
  • AI interaction data — prompts, inputs, outputs, and related logs where you use AI-enabled features on our platform or in our programmes (see also our AI Use & Transparency Policy)

3. How we collect personal data

  • Directly from you (forms, registration, checkout, email, phone, WhatsApp, campus visits)
  • Automatically through our websites and platform (cookies, analytics, security logs)
  • From authorised third parties (employers, agents, funding agencies, payment providers, verification partners), where permitted

4. Purposes of collection, use, and disclosure

We collect, use, and disclose personal data for purposes including:

  • Providing training, enrolment, assessment, certification, and related academy services
  • Operating, securing, improving, and supporting the SOQ International Academy platform
  • Verifying identity, preventing fraud, and managing accounts
  • Processing applications, queries, feedback, complaints, and support tickets
  • Processing payments, invoices, refunds, and funding-related administration
  • Sending service notices (class changes, system updates, policy updates)
  • Sending marketing about programmes and events where permitted (you may unsubscribe)
  • Analytics, quality assurance, product improvement, and AI-assisted operations with appropriate safeguards
  • Complying with legal, regulatory, audit, and enforcement obligations (including PEI/SWDA-related requirements where applicable)
  • Engaging authorised service providers who support the above purposes

5. Consent, notification, and exceptions

We generally process personal data with your consent or as otherwise permitted or required under the PDPA (for example, where necessary to perform a contract with you, for legitimate interests assessed under PDPC guidance, or to comply with law). We will notify you of the purposes of collection where required. You may withdraw consent in writing; withdrawal may affect our ability to continue providing certain services.

6. Disclosure of personal data

We may disclose personal data to:

  • Our officers, trainers, assessors, and authorised staff
  • Service providers (hosting, email, SMS, payment, analytics, customer support, AI tooling providers) under confidentiality and data protection obligations
  • Employers or sponsors where you are corporately sponsored
  • Accreditation, funding, or regulatory bodies where required
  • Professional advisers and parties in connection with legal claims or corporate transactions
  • Any party you authorise, or as required/permitted by law

We do not sell personal data.

7. Cookies and similar technologies

We use cookies and similar technologies for essential site functions, security, preferences, analytics, and (where enabled) marketing. You may manage non-essential cookies through our cookie controls and/or browser settings. Blocking certain cookies may affect site functionality.

8. Protection of personal data

We apply administrative, physical, and technical safeguards appropriate to the nature of the data, including access controls, encryption in transit where applicable, secure disposal, staff awareness, and vendor due diligence. No method of transmission or storage is completely secure; please use strong unique passwords and keep your login confidential.

9. Accuracy

Please keep your details current. You may request correction of inaccurate personal data we hold about you.

10. Retention

We retain personal data only as long as necessary for the purposes collected, for legitimate business needs (such as records of training and certification), or as required by law or regulation. When no longer needed, we will securely delete, anonymise, or archive data according to our retention practices.

11. Transfers outside Singapore

Our primary operations are in Singapore. Some service providers may process data outside Singapore (for example cloud hosting or AI tooling). Where personal data is transferred overseas, we take steps to ensure a standard of protection comparable to that under the PDPA, including contractual safeguards and/or obtaining consent where required.

12. Your rights under the PDPA

  • Access — request access to personal data we hold about you (a reasonable fee may apply)
  • Correction — request correction of inaccurate personal data
  • Withdraw consent — withdraw consent for purposes that rely on consent
  • Marketing opt-out — unsubscribe from marketing communications

We aim to respond as soon as practicable, generally within about ten (10) business days, or such longer period as may be reasonable depending on complexity. We may refuse requests where permitted under the PDPA.
